Reconcile a partial packaging delivery against the purchase order before deciding what still needs to be bought. Ordered, received, mutually cancelled and outstanding quantities belong in one commitment record. Received stock held for review belongs in a separate availability record; it has already arrived even if it cannot yet be used.

In this guide

This distinction can prevent a buyer from ordering another quantity already due under an existing commitment. Actual delivery and cancellation terms must come from the agreed order, not a worksheet assumption.

Retain the purchase quantity and agreed changes

Identify the component, specification, order reference and defined unit. A purchase of 500 separate box bases differs from 500 complete sets. Keep each component line’s receipts connected to that exact definition.

Record a cancellation only when the actual authorized agreement establishes it. A requested cancellation, delayed shipment and supplier message about future availability can have different meanings.

The changed-quote applicability method preserves the old and current scope. Its commercial review is separate from calculating the received and outstanding quantities of a defined existing order.

Reconcile a hypothetical 500-unit order

Assume 500 identical packaging units are ordered, 300 are received and fifty are cancelled by agreement. The remaining order balance is 500 minus 300 minus fifty, or 150. The terms and quantities are invented.

Purchase-order quantity Units
Original ordered amount 500
Received against this order 300
Cancelled under the assumed agreement 50
Still outstanding 150

Now assume twenty of the 300 received units remain held for review. The received available quantity is 280 under that assumption. The outstanding supplier balance remains 150, not 170.

Received-stock status Units
Physically received 300
Included in that count but held 20
Available under the stated decisions 280

If the buyer needs 300 available units immediately, the twenty-unit availability gap needs a defined response. It does not automatically enlarge the supplier’s undelivered balance.

Separate replacement promises from the original balance

A supplier may propose replacing held units, resolving their condition or delivering the remaining order. Record the scope of each actual response. Replacement of twenty received pieces and delivery of 150 outstanding pieces are different obligations to clarify.

Keep received replacements linked to the original issue and their own identities. Avoid counting a replacement receipt as both an additional outstanding-order delivery and a new free stock quantity without confirming its allocation.

The batch receiving and disposition record provides the acceptance basis for received goods. Shopify’s product inventory-state documentation likewise distinguishes incoming quantities from stock on hand and available quantities. Neither creates an automatic packaging purchase-order system.

Return the open commitment before placing another order

Show the supplier the original quantity, actual receipts, confirmed amendments and outstanding balance. Ask which next delivery or replacement response applies to each line, with its actual timing status.

Packrivo can coordinate the scope and component questions through a packaging project inquiry. Public platform guidance was checked on 14 October 2026. No cancellation, replacement credit, delivery commitment or actual order is established by this hypothetical reconciliation.

Add the next receipt without changing what already arrived

Ordered 500 minus received 300 and cancelled 50 leaves 150 outstanding; received 300 minus held 20 leaves 280
AI-assisted concept. Hypothetical commercial cancellation is assumed, not authorised by the drawing. Held goods are already included in received stock. View full-size diagram.

Use the commitment ledger for order events and the availability record for goods status. In the original example, the twenty held pieces stay inside the three hundred received count. Their status may later change without creating another supplier delivery.

Separate hypothetical event Total received against order Cancelled by assumed agreement Still outstanding Received availability question
Starting partial receipt 300 50 150 Twenty held; 280 available under assumptions
Another 100 original-order units arrive 400 50 50 New receipt needs its own status; existing twenty remain held
Original twenty released, no new receipt 400 50 50 Availability changes; supplier outstanding count does not

The second and third rows extend the example only for explanation; no real delivery or release occurred. The order identity remains one five-hundred-unit line. Receiving another hundred changes the outstanding balance to fifty. Releasing the earlier held twenty does not subtract another twenty from that balance.

If replacement pieces are offered instead, identify whether the receipt fulfils the remaining order or replaces already-received units. Keep the supplier’s actual answer and the original issue together. Do not decide that allocation merely from the fact that another carton arrived.

Use the incoming packaging inspection record to retain the acceptance basis for each received grouping. The commitment sheet should point to that status, while preserving the separate commercial facts about receipts and agreed amendments.

Bring the specific open question to the project brief

For a partial delivery discrepancy, send the order and revision, receipt references, agreed cancellations and the exact held stock identity before asking which balance needs correction. Send the current configuration, actual records available, quantity by design, destination and the unresolved question through Packrivo’s packaging inquiry. Packrivo coordinates sourcing and project questions with independent suppliers; the responsible parties confirm materials, service, methods and commercial terms.

What this changes in a packaging enquiry

Reconcile what remains outstanding on the purchase order before raising a replacement packaging order. Keep received, released, held and missing quantities separate for each component version. A short delivery does not by itself authorize a cancellation, duplicate purchase or invoice adjustment.
