Build a mailer brief suppliers can evaluate

Start with the packed product, not the outside of a box you like. Record dimensions, weight, quantity and destination, then separate confirmed requirements from open questions.

Measure what actually goes inside

List every item, including pouches, wrapping and cards. Record length, width and height in one unit, together with weight and the intended orientation. Tell the reviewer whether your numbers describe the product, the packed bundle or the box interior. Do not assume these are interchangeable.

Write the protection requirement

Explain whether an item is fragile, easily scratched, leak-prone or likely to move. Describe the planned parcel journey and any outer carton. Ask for a box and insert proposal together. A concept image cannot prove drop, compression or moisture performance.

Separate artwork from structure

Specify inside print, outside print or both. State your color expectations and any finish you want explored. Request the final supplier-approved dieline before placing artwork. A dieline for another box size or supplier is a reference, not a production file.

Make quotations comparable

Use the same specification revision for each quotation. Ask each supplier to identify tooling, sampling, packaging, freight, taxes and exclusions separately. Record the delivery term and named destination. Compare the complete stated scope, not just a unit price.

Before production approval

Check the assembled sample with the actual contents, approve the artwork revision and agree the transport checks. A digital proof helps review artwork but does not replace physical fit or shipping validation.
