Self-packing and fulfilment quotes need the same gift workload before their totals can be compared. Separate ordinary orders, additional gift work and fixed period charges. Align materials, shipping and exception scope so a lower total doesn’t simply cover fewer tasks.

Define the workload the quote must serve
Record order count, gift-service uptake, products per gift, message handling and delivered state. The flat and assembled scope guide clarifies work remaining after packaging receipt.
Ask whether storage, receiving, card printing, assembly and exception handling are included or charged separately. A per-order pick fee may omit work required by the actual gift arrangement.
Keep self-packing labor on a stated basis. Counting paid external work while treating your team’s equivalent time as free would answer a different question.
Compare a matched 500-order period
Assume 500 orders include 100 gift selections. The invented USD model omits shipping and materials because they are assumed identical and paid separately under both routes.

| Cost field | Self-packing | External fulfilment |
|---|---|---|
| Ordinary order work | 500 x $1.20 = $600 | 500 x $1.60 = $800 |
| Added gift work | 100 x $0.80 = $80 | 100 x $0.50 = $50 |
| Fixed included period cost | $300 | $100 |
| Modeled total | $980 | $950 |
The external route is $30 lower in this limited scenario. It is not an actual warehouse quotation or a claim of general outsourcing savings.
If an external minimum service charge replaces part of the variable total, apply its actual calculation rule. Don’t add a minimum again if it is already the minimum payable against those same fees.
Test a changed gift share
At 250 gift selections with the other inputs unchanged, self-packing totals $1,100 and external fulfilment $1,025. Different service uptake changes the comparison because the routes have different added-gift work amounts.
Both cases still need operational feasibility. An external provider unable to reproduce the message and packing specification cannot become the cheaper equivalent route through arithmetic alone.
Stock ownership, receiving delays and customer-data handling are separate actual arrangement questions. The cost table settles none of them.
Request prices against the complete service
Provide both routes with the same workload and physical configuration. Identify inclusions, exclusions, fee triggers and the work behind every line. The useful output is a comparable period total plus outstanding capability questions, rather than two headline per-order prices.
Sources and scope
Australian Government supports the stated general concepts within this scope: Cash inflows/outflows and clear labeling of estimated figures. Access checked 14 October 2026.
The worked scenario is original editorial analysis with assumed inputs, not a supplier offer, customer record or measured Packrivo result. Commercial feasibility and physical suitability remain project-specific.
Keep the matched workload beside every charge
WORK17_r01 contains the original hypothetical 500 orders and 100 gift selections. SELF17_r01 and EXT17_r01 use the original invented USD amounts; shipping and materials stay excluded on the same basis.

| Scope ID | Exact entity | Stage / role | Hypothetical basis |
|---|---|---|---|
| ORDERS | WORK17_r01 | INPUT | Same assumed order count for both routes |
| GIFTS | WORK17_r01 | INPUT | Added gift work, not500 gift selections |
| SELF_ORD | SELF17_r01 | PERIOD_MODEL | 500 x1.20 |
| SELF_GIFT | SELF17_r01 | PERIOD_MODEL | 100 x0.80 |
| SELF_FIXED | SELF17_r01 | INPUT | Included fixed amount once |
| SELF_TOTAL | SELF17_r01 | PERIOD_MODEL | 600.00 +80.00 +300 |
| SELF_GATE | SELF17_r01 | SERVICE_MATCH | Actual ability to reproduce the agreed work unknown |

| EXT_GATE | EXT17_r01 | SERVICE_MATCH | Actual ability to reproduce the agreed work unknown |
| DIFF | WORKCOMPARE17_r01 | PERIOD_MODEL | 980 -950 |
SELF_ORD, SELF_GIFT and SELF_FIXED give 600+80+300=$980. EXT_ORD, EXT_GIFT and EXT_FIXED give 800+50+100=$950. DIFF is $30 for this included workload. Fixed charges are entered once and gift work applies to 100 selections rather than every order.
SELF_GATE and EXT_GATE retain operational equivalence as separate unknowns. A lower modeled total cannot establish the actual message/packing service, data arrangement or readiness. No minimum-charge rule, actual quotation or measured labour rate is invented in this focused case.
Download the self packing versus fulfilment costs record (.csv). HYPOTHETICAL rows are invented examples. Use ACTUAL_BLANK for permitted project inputs; replace that row label only when recording actual facts. Empty evidence, observation and date fields mean unknown or not performed, never acceptance. Keep checkpoints and revisions separate.
Bring the exact scope rows and unresolved evidence in a Packrivo enquiry. Replace planning inputs with actual authorised records before treating the scenario as an available arrangement. Prepare a Packrivo packaging enquiry. Packrivo coordinates independent suppliers. These records establish no supplier offer, service availability or MOQ exception; its published baseline is 500 pieces per product/design.
What this changes in a packaging enquiry
Send the same finished-gift specification, component quantities and assembly tasks to each fulfilment provider. Identify whether packaging procurement, receiving, storage and wastage are included or separate. Packrivo's sourcing coordination is not a fulfilment-service offer, and the example prices do not establish an available external service.
