Give an event gift a defined handover record before counting it as issued. Prepared gifts, recorded claims, held units and uncollected stock are different states. A correctly printed name does not establish that the intended handover happened, and an uncollected gift remains a physical item requiring a decision.
Choose the distribution unit first. One gift per invited person, one per household and one per table create different quantities and claim rules. The event organizer must approve the actual arrangement; packaging staff should not infer it from attendance or appearance.

Separate matching the gift from issuing it
The personalized gift-component guide covers printed names, private messages and matching those components during packing. An event distribution record has another purpose: it follows the completed gift when someone takes responsibility for its handover.
Define the event that changes a gift from available to issued. It might be a recorded collection at one desk or a confirmed transfer through an approved organizer. A name on a list alone should not silently stand in for that event.
Use fictional references in public planning material. An actual organizer chooses the information needed for the real process and how it is retained. No real attendee information is required for this example.
Reconcile a hypothetical 200-gift event
Assume 200 completed gifts arrive at an event. By the closing count, 173 have recorded handovers, two are held because of an observed problem and 25 remain uncollected. Those numbers and states are invented.
Scroll horizontally if columns extend beyond the view.
| Event gift state | Units | Quantity decision |
|---|---|---|
| Recorded handovers | 173 | Removed from the available handover stock |
| Held physical gifts | 2 | Kept separate until the responsible decision |
| Uncollected gifts | 25 | Still physically present; next destination to confirm |
| Total accounted for | 200 | Reconciles the delivered quantity |
The table does not prove that every recorded handover reached the correct person. It establishes a quantity balance under the stated records. Matching errors or disputed collections need their own evidence and owner.
If a second claim appears against an already issued reference, retain that event and ask the organizer to decide the exception. Automatically issuing another gift would consume stock beyond the defined distribution rule.
Account for transfers between distribution points
Where two desks hold gifts, record movements between them without counting the transfer as a recipient handover. A stock item sent from Desk A to Desk B still belongs to the event’s available distribution inventory until the defined issue occurs.
Keep the period cutoff consistent when comparing desk totals. Simultaneously recording the same moving group at both desks can create an apparent surplus; recording it at neither can create an apparent shortage.
Official inventory-management guidance supports tracking stock by location and recording its movements and use. The event claim states are an original planning application, not a prescribed identity system or anti-fraud method.
Close the distribution with a physical decision
Assign responsibility for the 25 uncollected gifts and the two held units in the hypothetical example. The organizer may have an actual later-collection or return route; this article cannot assume one exists. Inspect the condition and permitted use before directing gifts elsewhere.
Bring the distribution unit, handover event, fictional process references and packaging quantities to a packaging project inquiry. Packrivo can coordinate material and identification questions. Public business guidance was checked on 14 October 2026; no actual event or successful claim process is reported.
A desk transfer needs an in-transit state at the cutoff
Use an independent eighty-gift stock example. Before a transfer, Desk A holds fifty and Desk B thirty. A fictional ten-gift group leaves A but has not reached B at the cutoff. The correct intermediate state is A forty, B thirty and transfer-in-transit ten, totaling eighty.
Scroll horizontally if columns extend beyond the view.
| Hypothetical configuration | Named object | Relationship | Input or next scope |
|---|---|---|---|
| IN_TRANSIT | DESK_A | calculated from | A_BEFORE-TRANSFER_GROUP; 40 gifts |
| IN_TRANSIT | DESK_B | calculated from | B_BEFORE; 30 gifts |
| IN_TRANSIT | TRANSIT | calculated from | TRANSFER_GROUP; 10 gifts |
| IN_TRANSIT | ALL_LOCATIONS | calculated from | A_MID+B_MID+TRANSIT_MID; 80 gifts |
| RECEIVED | DESK_A | calculated from | A_MID; 40 gifts |
| RECEIVED | DESK_B | calculated from | B_MID+TRANSIT_MID; 40 gifts |
| RECEIVED | TRANSIT | calculated from | TRANSIT_MID-TRANSFER_GROUP; 0 gifts |
| RECEIVED | ALL_LOCATIONS | calculated from | A_AFTER+B_AFTER+TRANSIT_AFTER; 80 gifts |
Recording only the two desks would show seventy and create an apparent ten-gift shortage. Crediting B while also keeping the same group in transit would show ninety. Both errors arise from inconsistent transfer timing, not evidence of a new gift delivery or recipient handover.
When the same group is received at B, the example becomes A forty, B forty and in transit zero. The total remains eighty. The receiving event moves an existing association from transit to B; it does not add ten to the event’s total stock or its issued count.
Actual custody, transfer evidence and the common cutoff need the organizer’s approved process. The Australian government inventory guide supports location and movement records, not this event’s identity or anti-fraud system. No real attendees, desk transfers or handling approval are represented.
Download the event gift desk transfer in transit cutoff balance record (.csv). It includes the original table fields and scenarios alongside the added relationships. HYPOTHETICAL rows are editorial examples or required review scopes, not actual records. Actual quantity, configuration, component and file identities, materials, process, specification, copy, method, condition, observation, owner, decision, evidence and dates are blank. ACTUAL_BLANK is a separate empty starting row; enter permitted project evidence before using an actual record. A blank means unknown.
Use the Personalized Gift Packaging: Cards, Tags and Sleeves for its separate question. Use the Packaging Stock Reconciliation Before Reordering for its separate question.
Source scope checked 17 October 2026: Australian Government inventory-management HTML supports physical counts, locations and movements; a reliable page publication/update date was not shown. Transfer arithmetic is hypothetical and proves neither recipient identity nor personal-data compliance. The added configurations and calculations are hypothetical, with actual evidence and decisions pending.
What this changes in a packaging enquiry
Size the event packaging purchase from the planned gift configurations and separately identify spares and uncollected stock. Use the actual handover process to define identifiers or personal cards. Prepared gift counts, claimed gifts and issued gifts should not be treated as interchangeable demand figures.
